Leading Rain Gutter Company in El Sereno is currently seeking an experienced and dynamic Office Administrator to join our team on a full-time basis. We are looking for an individual who is open-minded, thinks out of the box, and is open to changes. As an Office Administrator, you will play a pivotal role in managing various administrative tasks while bringing fresh perspectives and innovative solutions to the table. This position requires a dedicated individual who is reliable, organized, and proficient in office management software.
Responsibilities:
- Answering all incoming calls and addressing customer inquiries in a professional and innovative manner.
- Scheduling appointments using Google Calendar and coordinating with clients and team members in an efficient and dynamic way.
- Maintaining, managing, and organizing the office environment to foster creativity and productivity.
- Providing exceptional customer service by assisting clients with their needs, offering unique solutions to their inquiries, and addressing any concerns promptly and effectively.
- Creating and managing invoices for customers with a forward-thinking approach, ensuring accuracy and timeliness in billing processes.
- Handling accounts payable/accounts receivable using QuickBooks and maintaining financial records accurately, while exploring new ways to streamline processes.
- Managing collections by implementing progressive strategies for payment resolution and adapting to changes in the market.
- Paying bills and managing company expenses proactively, seeking opportunities for cost-saving measures.
- Managing insurance policies with a flexible mindset, ensuring they are up to date and optimized for the company's evolving needs.
- Supervising office assistants and installers, fostering a dynamic and collaborative work environment that encourages creativity and innovation.
- Embracing changes and driving positive transformations within the organization by thinking out of the box and implementing progressive ideas.
- Collaborating with team members to ensure smooth operations and effective communication within the organization, fostering an open and inclusive work culture.
- Demonstrating excellent phone manners and office etiquette while interacting with clients and colleagues, maintaining a professional and approachable demeanor at all times.
- Adhering to the company's standards of reliability, responsibility, and trustworthiness while embracing a culture of openness, dynamism, and innovation.
- Utilizing Microsoft Windows, Internet, and QuickBooks to perform daily administrative tasks efficiently while exploring new tools and technologies to enhance productivity.
Qualifications:
- Minimum of 1 year of experience in customer service is required.
- Proficiency in Microsoft Windows, Internet navigation, and QuickBooks is essential.
- Excellent communication skills with the ability to think out of the box and adapt to changes effectively.
- Strong organizational skills and attention to detail.
- Ability to thrive in a small business, casual environment while embracing a dynamic and open-minded approach.
