The Role
We’re looking for a reliable, proactive, and organized Onsite Operational Support Assistant to help manage the day-to-day workflows of our operations and finance functions. You’ll be responsible for executing daily, weekly, and monthly tasks using established SOPs. This is an entry-level operations position that doesn’t require formal financial training but demands accuracy, discretion, and strong problem-solving instincts.
This is a unique opportunity to work directly with leadership, including the COO and company owners, and to play a key role in maintaining the stability and integrity of internal operations. We're looking for a detail-obsessed doer to help keep us running smoothly while our COO steps away for maternity leave.
Responsibilities
- Complete routine financial tasks such as data entry, invoice tracking, and vendor payment prep using clear, pre-existing, step-by-step procedures
- Maintain and update financial records in coordination with our bookkeeping team
- Support business operations tasks including scheduling, file management, SOP maintenance, and team coordination
- Track and manage recurring deadlines across operational calendars
- Communicate clearly with the COO and company stakeholders — surfacing questions, identifying blockers, and following up on open items
- During the COO's maternity leave, compile and organize team questions/tasks into weekly briefings to maximize limited touchpoints
- Practice and uphold basic INFOSEC best practices while handling sensitive financial and personal data
- Act as a go-to team member for general administrative support and follow-through

- Curious, self-motivated, and eager to grow
- Calm under pressure and happy to “figure it out” when things aren’t perfectly defined
- Have experience with Google Workspace
- Able to prioritize under tight deadlines and exceed expectation
- Able to take initiative and work independently without supervision/oversight

Nice to Haves (but not required):
- Familiarity with bookkeeping tools like QuickBook and Google Sheets
- Experience in a creative agency or production company environment
- Light project management or operations background
