Overview
As the Bookkeeper & Business Administration Assistant, you will work closely with the Accountant to ensure the accurate and efficient execution of multiple financial, HR, and operational responsibilities for The Mortgage Guys and its affiliated businesses. This position requires minimal understanding of accounting, payroll, and business administration to lead critical functions with precision.
Duties
Financial Management & Bookkeeping
- Maintain precise and comprehensive bookkeeping records across all business entities.
- Assist with accounts payable and accounts receivable, ensuring timely processing and accuracy.
- Assist in reconciling all business accounts to maintain financial integrity and support compliance.
- Assist with the management of business bank accounts, including deposits, and coordinate with banking partners to resolve any issues or account holds.
Strategic Reporting & Analysis
- Assist the accountant to create financial reports, leveraging pivot tables and other data analysis tools to drive strategic insights.
- Ensure all financial data is meticulously organized and readily accessible for accountant-level reporting.
Human Resources Management & Compliance
- Lead the onboarding and offboarding processes, maintaining compliance and supporting a seamless employee experience.
- Manage company policies and oversee employee benefits, ensuring alignment with industry standards and regulatory requirements.
- Address HR-related inquiries, providing timely and professional resolution to employee relations matters.
Business Administration & Compliance
- Assist with the preparation and submission of mortgage and real estate call reports, ensuring accuracy and adherence to regulatory standards.
- Manage broker applications and handle essential mortgage and real estate compliance tasks, ensuring that all entities meet industry regulations.
- Assist with general administrative duties across all business entities, supporting operational excellence and continuity.
Qualifications
- Experience: At least 1 year in bookkeeping, payroll management, or a related field.
- Skills: Excellent Organizational skills, Proficiency in Excel, particularly in pivot tables, and a high degree of accuracy; and multitasking capabilities in a fast-paced setting.
- Technical Proficiency: Proficiency with accounting software (e.g., QuickBooks) and payroll platforms. Experience with mortgage/real estate industry software is a strong asset.
- Industry Knowledge: Background or familiarity with the mortgage and real estate industries is strongly preferred.
