We're looking for an Accounts Payable Specialist to join our team and support our operations across multiple divisions — including General Construction, Concrete, and Structural Steel/Sheet Metal Fabrication. This role involves financial, administrative, and clerical responsibilities that help ensure vendor payments are handled accurately and on time, in line with internal procedures.
What You’ll Do:
- Handle weekly physical check runs (every Friday) and process additional payments as needed by management.
- Review and process invoices after they’ve been approved, and assign costs to appropriate accounts and job codes.
- Manage vendor accounts by reconciling monthly statements and ensuring credits are received for outstanding memos.
- Prepare and issue purchase orders using ComputerEase software.
- Resolve invoice, purchase order, contract, or payment discrepancies, including stop-payments or changes to POs.
- Monitor early payment discounts and schedule checks accordingly.
- Enter expenses and maintain accurate records for audit and reporting purposes.
- Calculate vendor rebates and process buybacks.
- Process bank checks to reflect vendor credits or debits.
- File all accounts payable documents and invoices.
- Respond to vendor emails and calls, and assist internal teams across different locations.
- Provide phone coverage and direct incoming calls to the right contacts.
- Fill in for other AP team members when needed.
- Remain open to learning and assisting with additional tasks outside of core AP work.
Requirements:
- At least 2 years of accounts payable experience, preferably in an industrial field.
- Typing knowledge and proficiency with Ten-Key.
- Basic to intermediate Excel user.
- Experience with relevant accounting software (specify software and proficiency level).
- Ability to protect the organization’s value by keeping information confidential.
- Experience with ComputerEase is preferred, but we are willing to train the right candidate.
- Other administrative duties as needed.
