The Bookkeeper/Receptionist position combines administrative and bookkeeping responsibilities. Serves as the first point of contact for the school while also managing financial records. This role involves greeting visitors, answering phones, and handling general office tasks, as well as recording financial transactions, processing invoices, and potentially assisting with payroll. The ideal candidate should enjoy working in a team-oriented environment.
Key Responsibilities
- Receptionist Duties:
- Greeting visitors and directing them to the appropriate personnel.
- Answering and directing phone calls, and/or taking messages.
- Managing the reception area, ensuring it is tidy and presentable.
- Scheduling appointments for Principal, Vice Principal, Dean, and Finance Manager as needed.
- Handling incoming and outgoing mail and packages. Sort and distribute mail.
- Filing documents, both physical and digital.
- Maintaining office supplies and equipment.
- Providing general administrative support to other team members.
- Provide support for managements information requests in a timely and accurate manner.
- Other responsibilities, tasks, or assignments as needed.
- Bookkeeping Duties:
- Recording financial transactions, such as purchases, sales, and expenses.
- Receiving payments (cash, check & credit card) from parents, students, visitors, etc.
- Processing invoices and payments, both accounts payable and accounts receivable.
- Prepare and coordinate bank deposits.
- Verify accounting system data matches bank statements.
- Assisting finance office with tasks related to payroll/HR.
- Utilizing APLOS accounting software to manage financial data.
- May assist with monthly financial reporting.
- Filling financial documents accordingly and in a timely manner.

- Knowledge of basic accounting principles: To understand and apply bookkeeping procedures.
- Ability to work independently and as part of a team: To manage daily tasks and collaborate with others.
- Evening and weekend hours may be assigned as needed for school events.
Minimum Qualifications:
- AA degree in accounting or business. 1-2 years of related experience.
- Microsoft Office proficiency.
- Proficient in QuickBooks online.
- Bilingual English/Spanish is essential.
- Preferred: Bachelor’s degree in accounting or business. 3-5 years related experience. APLOS accounting software experience (preferred but not required)
Wage Range
The rate of pay offered to the selected candidate is based on internal pay policy and budget. New hires are commonly paid at the minimum of the wage range or within the lower part of the range. We consider a number of factors when making compensation decisions including, but not limited to, skill sets, experience, training and other department needs.
